This Privacy Policy explains how we collect, use, store, and protect your personal information when you use our website (www.kosmohousing.com) and our forms (Search, Offer, Team Up).
We follow the General Data Protection Regulation (GDPR) and applicable European privacy laws.

By using Kosmo, submitting a form, or interacting with us on Instagram, you agree to this Privacy Policy.

1. Who we are

Kosmo is a student-to-student housing network designed to make housing simple, safe, and human.
Our website (www.kosmohousing.com) and Instagram account (@kosmo.housing) allow students to find, share, or offer housing and connect with each other.
Under GDPR, Kosmo is the Data Controller of your personal data.

2. What personal data we collect

We only collect information that you choose to provide.

When you submit a Kosmo form (Search, Offer, Team Up), we may collect:
 

  • Full name

  • Student email address (verification)

  • Instagram handle

  • University or school

  • Housing needs (Search)

  • Housing offer details (Offer)

  • Roommate preferences (Team Up)

  • City, dates, budget, flexibility

  • Living preferences

  • Photos of the place + photo of yourself

  • Description text you voluntarily write

Kosmo does not collect sensitive data (health, politics, religion…).

3. Why we collect your information

We process your data based on:

Consent (Art. 6.1.a)

When you submit a form, send photos, or allow us to share your Story on Instagram.

Performance of a service (Art. 6.1.b)

To create your personalized Story template and connect you with other students.

Legitimate interest (Art. 6.1.f)

To maintain a safe student community, prevent fraud, and ensure only verified students use Kosmo.

4. How we use your data

We use your information to:
 

  • Verify that you are a real student

  • Create a personalized Kosmo Story based on your form

  • Email you your Story template

  • Share or repost your Story on Instagram (if you post it and tag us)

  • Connect you with other verified students

  • Improve our process and user experience

  • Communicate with you (if needed for corrections)

  • Ensure safety and authenticity within the community

 

IMPORTANT: Your student email is never shared publicly.

5. When your information is shared

Your information is shared only when you choose to post your Story on Instagram.
Kosmo may repost your Story only if you tag @kosmo.housing or send it via DM.


We never share:
 

  • Student email

  • Internal communication

  • Non-public information
     

We do not sell, rent, or trade your personal data. Ever.

6. How we store & protect your data

Your information is stored using secure tools.
We apply technical and organizational measures to prevent unauthorized access, loss, or misuse.

We only keep data as long as necessary to operate Kosmo.

Retention periods:
 

  • Form data: max 12 months

  • Emails: kept only for verification purposes

  • Stories: only visible if you choose to post them
     

You may request deletion at any time.

7. Your rights

You have the right to:
 

  • Access your data

  • Correct inaccurate information

  • Request deletion (“right to be forgotten”)

  • Withdraw your consent

  • Restrict processing

  • Receive a copy of your data (portability)

  • File a complaint with your local Data Protection Authority

8. Third-party services

Kosmo uses trusted third parties only when necessary:
 

  • Form platform (storage of form submissions)

  • Instagram (when you choose to post your Story and Kosmo reposts it)
     

These services may process limited data in accordance with their own Privacy Policies.
We ensure that all partners comply with GDPR.

Kosmo does not use advertisers or data brokers.

9. Updates to this Privacy Policy

We may update this Privacy Policy to reflect improvements or legal requirements.
Changes will always be posted on this page with a new “Last updated” date.
